Information on the processing of personal data

Controller

The controller of personal data is EU CONTACT AG LTD, a company registered in England and Wales (Companies House No. 08725618, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom), operator of the website eucontactagency.eu (EUCA) and the EUCA Club Management application.

What data we process

Purposes and legal bases

Checks in public registers

For artists with Czech citizenship or residence in the Czech Republic, we regularly check the public insolvency register (ISIR) to see whether insolvency proceedings are pending against them. Only an exact match of first name, surname and date of birth is stored.

For artists with Slovak citizenship or residence in Slovakia, we check the public Slovak register of bankrupts (register úpadcov, ru.justice.sk) in the same way.

• Why: so that the artist knows that her fee may be subject to deductions and knows her rights (the protected amount, the duty to report income to the insolvency administrator).
• What you will see: a friendly notice in Engagements with the case number and a link to the proceedings.
• Who can see it: only you and the agency’s administrators; the information is not shown to clubs or other users.
• Error or closed proceedings: write to us and we will correct the record.
• Objection: you can object to the checks (Art. 21 GDPR).

For companies and sole traders, we complete and update the company ID, VAT ID, name and billing address from public business and tax registers (e.g. ARES, VIES, Companies House); the original values remain in the history.

Reading CVs and documents using artificial intelligence

We may read an uploaded CV or identity document using the OpenAI service – only with your consent, which you give by ticking the box when uploading. The service extracts the data from the document and suggests it for the form.

• Data is written to your profile only after you confirm it; previous values remain in the history.
• Each upload is a new version; older versions and removed files are stored in a non-public archive.
• You can withdraw your consent at any time; you will then fill in the document manually.
• Under its API terms, OpenAI does not use the data submitted to train its models.

Recipients and transfers outside the EU

The controller is based in the United Kingdom, for which the European Commission has adopted an adequacy decision. Transfers to the USA (OpenAI) take place on the basis of standard contractual clauses or, where applicable, the EU–US Data Privacy Framework.

Your rights

You have the right:

• to access your data and obtain a copy – you will find the export in your profile (download my data),
• to rectification of inaccurate data,
• to erasure, if we no longer need the data and no legal obligation prevents it,
• to restriction of processing and to data portability,
• to object to processing based on legitimate interest (e.g. register checks),
• to withdraw consent at any time (AI reading, newsletter),
• to lodge a complaint with a supervisory authority: in the United Kingdom the Information Commissioner’s Office (ico.org.uk), in the Czech Republic the Office for Personal Data Protection (uoou.gov.cz), or the authority in your country.
